How to Recover Your UGMail User Account

If you’re unable to sign in to your UGMail account because you forgot your password or lost access to your authentication methods, this article explains what to do when your account is managed by an organization, school, institution, or business.


When You Must Contact Your Administrator

If your UGMail account is provided and managed by an organization (for example, your company, school, or institution), your account is controlled by that organization’s Admin or Postmaster account.

For security and privacy reasons:

  • UGMail does not directly manage, access, recover, or reset individual user accounts that belong to an organization.

  • All user account recovery, password resets, and 2FA (two-factor authentication) changes are handled internally by your organization’s system or IT administrator.

This means that if you:

  • forgot your password,

  • lost access to your authenticator app,

  • can’t use your passkey,

  • no longer have your recovery methods or backup verification options,

you must work with your organization’s administrator to restore access.


What Your Administrator Can Help With

Your organization’s administrator is responsible for managing user accounts and can assist you with:

  • Password resets – Setting a new password so you can sign in again.

  • 2FA resets – Disabling or resetting two-factor authentication if you’ve lost access to your device or app.

  • Recovery method updates – Updating your recovery email, phone number, or other verification options.

  • Account restoration – Restoring access to a disabled, locked, or suspended account (if permitted by your organization’s policies).

  • Additional access-related support – Any other account access issues defined by your organization’s internal rules.

UGMail does not override or bypass your organization’s policies or administrator decisions.


Step-by-Step Recovery Process

Step 1 — Contact Your System Administrator

Reach out to the appropriate contact within your organization, such as:

  • your organization administrator,

  • your IT department or help desk,

  • the Postmaster account owner,

  • or your email administrator.

When you contact them, provide:

  • Your affected UGMail address (for example, your.name@yourorganization.com)

  • Your full name (as registered with your organization)

  • A brief explanation of the issue, such as:

  • “I forgot my UGMail password and can’t log in.”

  • “I changed phones and lost access to my authenticator app.”

  • “My 2FA codes are not working and I’m locked out.”

Follow any additional verification steps they request. They may need to confirm your identity according to your organization’s security policies.


Step 2 — Administrator Recovery Assistance

After you contact your administrator, they may take one or more of the following actions:

  • Reset your password
    They can generate or allow you to set a new password so you can sign in again.

  • Disable or reset 2FA
    If you’ve lost access to your authenticator app, passkey, or backup codes, they may temporarily disable 2FA or reset it so you can configure it again.
